This Events Privacy Policy explains how Eprenz PBC, "Eprenz," "we," "us," or "our," collects, uses, discloses, and otherwise processes Personal Information in connection with events that we organize, host, co-host, sponsor, administer, or promote.
This Policy applies to virtual, hybrid, and in-person events, including conferences, summits, workshops, webinars, networking programs, speaker programs, sponsor and exhibitor programs, partner programs, event communities, event websites, registration pages, applications, ticketing, communications, recordings, and post-event activities.
This Policy supplements the general Eprenz Privacy Policy and other applicable Eprenz policies. A specific event notice, agreement, registration form, or consent form may provide additional information that also applies.

Where applicable data protection law uses terms such as controller or business, Eprenz acts in that capacity when we determine the purposes and means of processing Personal Information.
Some organizations involved in an event, such as co-hosts, sponsors, partners, or service providers, may separately determine how they process Personal Information and are responsible for their own processing.

This Policy applies to Personal Information processed in connection with Eprenz events, including information relating to:

- People who interact with event emails, forms, advertisements, social media, registration pages, or other event communications.
This Policy does not govern the independent privacy practices of third-party organizations whose websites, services, products, or platforms you use directly.
3. Definitions
Personal Information means information that identifies, relates to, describes, or is reasonably linked to an identified or identifiable individual. Similar terms, such as personal data, may have substantially the same meaning under applicable law.
Processing means operations performed on Personal Information, including collecting, recording, organizing, storing, using, disclosing, transferring, combining, analyzing, restricting, deleting, or destroying it.
Event Services means event-related websites, forms, registration systems, communications, platforms, programs, recordings, networking tools, communities, and related services covered by this Policy.

The Personal Information we collect depends on how you interact with Eprenz and our Event Services.
4.1 Contact and Identity Information

4.3 Speaker, Presenter, and Applicant Information
If you apply to or participate in an event as a speaker, moderator, panelist, workshop leader, mentor, or presenter, we may collect:

- Headshot and company logo.
- Proposed session title, description, topic, audience, track, and learning outcomes.
- Speaking history and links to previous presentations or media.
- Presentation format preferences.
- Availability, scheduling restrictions, and time zone.
- Slides, worksheets, links, downloads, and other attendee resources.
- Technical or accessibility requirements.
- Promotion preferences.
- Session confirmation and production information.
- Recording, publication, media, and related permissions.
Information approved for publication, such as a speaker's name, title, biography, headshot, organization, and session information, may be made publicly available through Event Services and promotional channels.
4.4 Sponsor, Exhibitor, and Partner Information
If you represent a sponsor, exhibitor, advertiser, media partner, community partner, or other event partner, we may collect:
- Business contact information.
- Company or organization information.
- Logos, trademarks, brand assets, and promotional materials.
- Sponsorship, exhibitor, or partnership interests.
- Package, activation, booth, session, or benefit information.
- Billing contacts and transaction records.
- Offers, downloads, advertisements, presentations, or other event materials.
- Lead-generation preferences and campaign information.
- Performance and engagement information associated with event benefits.
4.5 Registration, Ticketing, and Participation Information
We may collect:
- Event registration status.
- Ticket or pass type.
- Ticket, registration, or event identifiers.
- Registration source and referral information.
- Campaign and promotional attribution information.
- Who referred you to an event, such as a sales representative, affiliate, or partner link, the campaign or page you came from, and any promotional code you use. We record this when you register, whichever cookie choice you make, so that the right person is credited.

If you purchase a ticket, sponsorship, exhibitor package, membership, or another paid service, we may process:

Payment card and bank account details are generally processed by payment processors, merchant banks, or other financial service providers. Eprenz receives information needed to administer the transaction, maintain records, provide support, and meet applicable obligations.

Depending on the event and your participation, we may collect or create:

Additional recording, media, intellectual property, publication, or promotional terms may appear in event terms, speaker onboarding materials, sponsorship agreements, partner agreements, or other written agreements.
4.8 Device, Website, and Analytics Information
When you use Event Services, we or our service providers may collect:
- IP and network information.
- Browser type.
- Device type.
- Operating system.
- Browser, device, or advertising identifiers.
- Pages viewed.
- Links clicked.
- Referring URLs.
- Date and time of access.
- Approximate location inferred from network information.
- Cookies and similar identifiers.
- Browser storage information, including consent choices, brochure-access status, and referral or campaign parameters.
- If you select Accept All: a random visitor identifier and a record, kept in your browser for up to 30 days, of the campaign that brought you to our event website, together with records, sent to our servers, that you visited an event page and that you clicked the registration button.
- Campaign and advertising click identifiers.
- Registration sources and attribution information.
- Website interaction and measurement information where analytics or advertising technologies are enabled.
5. Sources of Personal Information
5.1 Directly From You
We collect information you provide through registrations, applications, surveys, ticket purchases, profile forms, sponsorship or exhibitor forms, support requests, event communities, networking tools, chats, polls, speaker materials, partner materials, feedback forms, and other Event Services.
5.2 Eprenz Accounts and Existing Records
Where appropriate, we may use information already associated with your Eprenz account, membership, prior registration, event participation, speaker application, sponsorship inquiry, or other relationship with Eprenz.
We may use this information to reduce duplicate data entry, maintain accurate records, administer our relationship with you, or provide relevant Event Services.
5.3 Your Organization or an Authorized Representative
An employer, sponsor, partner, agency, team administrator, or other authorized representative may provide information about you when registering, nominating, inviting, purchasing access for, or identifying you as a participant or representative.
5.4 Publicly Available Sources
For professional outreach, speaker curation, sponsor research, due diligence, media relations, or partnership development, we may obtain professional information from publicly available sources such as company websites, public professional profiles, published biographies, and public speaking profiles.
5.5 Service Providers and Event Technology
Service providers may receive or process information through the services they provide to Eprenz, including registration, forms, analytics, advertising measurement, embedded media, file access, video conferencing, communications, and other event functions.
6. How We Use Personal Information
6.1 Registration, Ticketing, and Access
We use Personal Information to:
- Process registrations and applications.
- Create and maintain registration records.
- Issue tickets, passes, invitations, access credentials, or event links.
- Authenticate participants.
- Confirm registration and payment status.
- Manage event access and capacity.
- Provide access to live or recorded content where applicable.
6.2 Event Administration and Delivery

Operational communications required to administer an event are separate from optional promotional marketing.

- Publish agenda and session information.
- Announce speakers, sponsors, exhibitors, and partners.

- Create post-event highlights, archives, clips, and summaries.
6.6 Sponsor, Exhibitor, and Partner Programs
Eprenz works with sponsors, exhibitors, and partners that help fund, support, promote, or deliver our events.
We may use Personal Information to:
- Deliver contracted sponsorship, exhibitor, advertising, and partnership benefits.
- Display sponsor or partner branding.
- Operate sponsored sessions, booths, deal rooms, offers, resources, or activations.
- Measure engagement associated with those benefits.
- Provide relevant attendee or lead information to selected sponsors, exhibitors, or partners when this forms part of the applicable event partnership benefits and has been disclosed for the event.
- Administer other disclosed lead-generation activities.
Selected sponsors or partners may use attendee or lead information to follow up about relevant business products, services, resources, programs, support, or opportunities.
6.7 Analytics, Measurement, and Improvement
Where analytics, performance, or advertising technologies are enabled, we and our service providers may use browser, device, page-view, interaction, and campaign information to:
- Measure visits and website usage.
- Understand how visitors interact with event pages.
- Measure campaign performance.
- Measure advertising effectiveness.
- Improve event websites, communications, and user experiences.
Separately from analytics, we use referral information to credit the sales representatives, affiliates, and partners who brought you to an event, and to calculate and pay any commission they are owed. We do this whichever cookie choice you make.

6.8 Marketing and Business Communications
Where permitted by applicable law, Eprenz may use contact information to communicate about events, programs, communities, memberships, products, services, and business resources.
Available unsubscribe, opt-out, or preference options depend on the communication channel and service used.
6.9 Security, Fraud Prevention, and Legal Compliance
We may use Personal Information to:
- Protect Event Services, systems, accounts, participants, and Eprenz.
- Detect or prevent fraud, spam, scraping, abuse, misuse, or unauthorized access.

- Establish, exercise, or defend legal claims.

- Securing Event Services and preventing fraud.

- Crediting and paying sales representatives, affiliates, and partners who refer participants to our events.
- Conducting appropriate business-to-business outreach.

- Developing and promoting Eprenz events and programs.
Where required, we consider whether those interests are overridden by your rights and interests.

We rely on consent where required, including for certain marketing communications, optional information sharing, cookies, tracking technologies, or other processing activities where applicable law requires consent.
Where processing is based on consent, applicable law may give you the right to withdraw it. Withdrawal does not affect processing completed before withdrawal.

The recipient may use this information to follow up with attendees about relevant business products, services, resources, programs, support, or opportunities.

The specific information and recipients vary by event and partnership arrangement.
We may also disclose information when you directly interact with a sponsor, exhibitor, or partner, including when you:

- Request a meeting or introduction.
- Join a sponsored activity.
- Download sponsored content.
- Submit a lead or contact form.
- Participate in a promotion.
- Otherwise direct or authorize a disclosure.
Where applicable law requires additional notice, consent, or an opt-out opportunity for a particular disclosure, we will provide the required notice or choice.
Once Personal Information is provided to an independent sponsor, exhibitor, or partner for its own purposes, that organization is responsible for its subsequent processing under its privacy policy and applicable law.
8.3 Co-Hosts and Joint Event Partners
Where Eprenz co-hosts an event with another organization, the organizations may separately or jointly determine how certain Personal Information is processed.
Where required, the registration experience or event notice will identify the relevant organizations and explain applicable sharing.
8.4 Business Transactions
If Eprenz is involved in a merger, acquisition, financing, reorganization, sale of assets, insolvency proceeding, or similar transaction, Personal Information may be transferred as part of the transaction, subject to applicable law.
8.5 Legal, Security, and Protection Purposes
We may disclose Personal Information where reasonably necessary to:
- Comply with applicable law, regulation, legal process, or lawful government requests.
- Protect the rights, property, or safety of Eprenz, our users, event participants, or others.

9. Event Technology and Data Transfers Between Systems
Eprenz uses multiple services to operate its events.
Information submitted through one Event Service may be transferred to another system to support registration, ticketing, communications, event access, analytics, campaign attribution, workflow automation, payment processing, or other event functions.
For example, registration or application information may be submitted through forms and transferred to event registration, communication, customer relationship management, analytics, or workflow systems.
Campaign or referral information may also be included with form submissions or used to direct visitors to source-specific registration experiences.
Some third-party resources, such as fonts, embedded media, file services, forms, or external event platforms, may receive standard browser and network information when you use those resources.
10. Cookies and Similar Technologies
Eprenz Event Services use cookies, local storage, session storage, tags, pixels, and similar technologies for functions including:
- Site operation.
- Brochure access.
- Registration and application workflows.
- Referral and campaign attribution.
- Analytics and performance measurement.
- Advertising measurement.
Where available, the website's preference banner provides an Essential Only option and an Accept All option.
Selecting Essential Only keeps Eprenz's direct analytics and advertising technologies disabled.
Selecting Accept All enables the website's analytics, performance, and advertising technologies.
Essential functions, registration and application processes, referral or campaign attribution, embedded resources, and some third-party services may continue to operate when Essential Only is selected.
Your choice applies across Eprenz websites and apps that you open from this site. If you select Accept All, the Eprenz app will not ask you again; if you select Essential Only, the app may ask you once more.
If you select Essential Only, we do not store a visitor identifier or a 30-day campaign record in your browser, and we do not send page-visit or button-click records. When you then register, we still record which representative, affiliate, campaign, or link brought you, and any promotional code you enter, as described in Section 4.5.

11. Sale, Sharing, and Targeted Advertising
Eprenz uses analytics and advertising technologies when they are enabled through the website's consent experience.
Eprenz may also provide attendee or lead information to selected sponsors, exhibitors, or partners as described in Section 8.2.
Privacy laws differ in how they define terms such as "sale," "sharing," and "targeted advertising." Whether a particular activity falls within one of those definitions depends on the applicable law and the activity involved.
Sponsorship or partnership payments are not described in this Policy as payments specifically for Personal Information.
Where applicable law provides notice, consent, or opt-out rights relating to an activity, Eprenz will provide or honor those rights as required.

12. Event Recordings, Photography, and Media
Eprenz events may include recorded sessions, photographs, screenshots, livestreams, transcripts, captions, and other media.
Where appropriate, we provide notice that a session or activity is being recorded.
If you actively participate in a recorded session, your name, image, voice, questions, comments, presentation, screen share, or other contributions may appear in resulting recordings or media.
Speakers, moderators, panelists, sponsors, exhibitors, and other presenters may be subject to additional recording, publication, intellectual property, media, or promotional terms.
If you prefer not to appear in a recording as an attendee, avoid enabling your camera or microphone or contributing to a recorded portion of an event unless participation is required.
13. Public Profiles, Directories, and Networking
Some Event Services provide participant directories, speaker profiles, sponsor profiles, exhibitor profiles, networking features, communities, or similar spaces.
Information designated for public or participant-facing display may be visible to other users.
This information may include:
- Name.
- Professional title.
- Company or organization.
- Biography.
- Headshot or profile image.
- Session information.
- Website.
- Professional social links.
- Sponsor, exhibitor, or partner branding.
Participants must not use Event Services to scrape, harvest, or collect Personal Information for unauthorized bulk marketing, spam, or unrelated commercial solicitation.
14. International Data Transfers
Eprenz is based in the United States and serves an international community.
Personal Information may be processed in the United States or other countries where Eprenz, its service providers, event platforms, sponsors, or partners operate.
These countries may have data protection laws that differ from those in your country.
Where applicable law requires safeguards or another lawful basis for an international transfer, those requirements apply to the relevant processing.
15. Data Retention
We retain Personal Information for as long as reasonably necessary for the purposes for which it was collected or processed, subject to applicable legal, accounting, tax, contractual, security, and operational requirements.
Retention periods vary depending on:

- The event or service involved.
- The duration of our relationship with you.
- Post-event access or resource requirements.
- Contractual and commercial obligations.

Browser storage used by the event website may remain until it expires, the browser session ends, it is replaced, or the visitor clears browser data, depending on the type of storage used.

Information processed through third-party services is also subject to the security practices of those providers.
No Internet transmission or electronic storage system provides absolute security.

20. Direct Marketing Choices
If Eprenz sends promotional email, SMS, telephone, or other marketing communications, available opt-out methods depend on the communication channel and service used.
Where applicable law provides a right to opt out of direct marketing, Eprenz will honor that right as required.
Opting out of promotional marketing does not prevent Eprenz from sending transactional, operational, security, legal, or event-service communications needed to administer a registration, purchase, account, speaker participation, sponsorship, partnership, exhibitor relationship, or other requested service.
21. Automated Processing and Workflow Automation
Eprenz uses automation to support event operations.
This may include:
- Preserving referral or campaign information.
- Populating form fields.
- Routing registrations.
- Submitting forms.
- Synchronizing information between event systems.
- Selecting registration experiences based on campaign or referral information.
- Sending confirmations or operational communications.
- Updating registration or workflow statuses.
Where applicable law provides rights concerning automated decision-making, those rights apply to relevant processing.
22. Sensitive Personal Information
Eprenz events generally do not require sensitive Personal Information such as government identification numbers, detailed medical records, financial account credentials, or precise geolocation.
Where an event asks for accessibility requirements or another potentially sensitive detail, provide only the information reasonably necessary for Eprenz to support your request.
Where applicable law imposes additional requirements concerning sensitive Personal Information, Eprenz will process it in accordance with those requirements.
23. Children
Eprenz events and Event Services are primarily intended for business and professional audiences and are not directed to children under 13.
We do not knowingly collect Personal Information online from children under 13 without authorization required by applicable law.
If we learn that information from a child was collected in a manner inconsistent with applicable law, we will take appropriate steps to address it.
If a specific event is designed for minors, additional notices or consent procedures may apply.
24. Third-Party Websites and Services
Event Services may contain links to websites, applications, offers, services, or resources operated by third parties, including sponsors, exhibitors, speakers, partners, payment providers, and other organizations.
Eprenz does not control the independent privacy practices of those third parties.
When you provide information directly to a third party or leave an Eprenz-controlled service, the third party's privacy policy governs its processing.
25. Changes to This Policy
We may update this Policy to reflect changes in our Event Services, technology, business practices, or legal requirements.
When we update the Policy, we will revise the Last Updated date.
Where applicable law requires additional notice or consent for a material change, we will provide it as required.
26. Relationship to Other Eprenz Policies and Agreements
This Policy applies specifically to privacy practices associated with Eprenz events.
